Arts Advisory Board <br />Agenda <br />September 3, 2025 <br />Page 2 of 4 <br />e. We're going to fully utilize our budget this year, which is fantastic <br />(and a product of us being an advisory board), and next year's <br />planning is already underway <br />f. For 2026: <br />i. The board will continue to advise and assist in planning <br />events and suggesting artists and performers for the World <br />Music Series and Summer Concert Series <br />ii. The budget will probably be the same - we will likely not <br />have wiggle room for larger events <br />iii. Plan to formalize staffing events in the future - using <br />calendars and spreadsheets, signing up to volunteer, taking <br />the lead on event setups, etc. <br />iv. We will still brainstorm, but it will take less time since the big <br />events are already established <br />v. If we want to have five summer concerts, we'll probably need <br />to find a sponsor. Our responsibility as board members will <br />be to find potential sponsors, possibly initiate conversation, <br />but the city will seal the deal <br />vi. Sarah: can we have a formal document about how to talk to <br />potential sponsors? Iris: good plan, we'll come back to this <br />later in the meeting <br />vii. We are still responsible for the art grants (five $2000 grants) <br />- we'll touch on this at our October meeting, open for <br />proposals in December <br />viii. Note: JR will be gone for three weeks starting next Tuesday <br />7. Staff Report (Iris) — Report 20 minutes <br />a. Update on 2025 Arts & Events projects <br />i. Labor Day: thank you to board members who helped at <br />Senior Dinner, 150/250 group in parade <br />ii. Senior Dinner: served over 250 seniors, 40-50 prizes, many <br />thank yous and praise <br />iii. At least 1600 people in the parade, 50 vehicles, 60 horses! <br />(note: good idea to put horses at the end) <br />iv. Someone counted the three main blocks - at least 500-600 <br />people on each block <br />v. Fall Festival: 40+ food and craft vendors, first beer garden <br />
