4. Finalizing the Advance Calendar. By November 1st of each year, City staff will email
the revised draft calendar to the LCC and all cosponsored organizations. No later than
December 1st of each year, the LCC and all cosponsored organizations will, during a
regularly scheduled LCC meeting, resolve any remaining schedule conflicts and agree
on a final advance calendar.
5. Posting the Advance Calendar. On December 1, City staff will post the final advance
calendar on the City website and begin accepting reservations for public rental of the
facility.
6. Ongoing Reservations. After December 1st and at any time during the following
calendar year, upon request, City staff may reserve the facility on any date that has not
been previously reserved through the advance reservation process described above.
The priority for such reservations is as follows:
A. Events that are open to the public have priority over rehearsal time, meetings
or social events.
B. Reservations submitted by residents of or businesses located in Louisville.
C. Reservations submitted by all others.

7. Fees. Fees for facility usage shall be updated annually through City Council
Resolution. The current fees are as follows:
A. Louisville Cultural Council – no fee. This subsidy reflects the LCC’s status as
an advisory group appointed by the City Council.
B. Cosponsored organizations - $1,500 per calendar year, but no charge for
hourly usage. This fee is intended to cover a small portion of the City’s cost
associated with custodial services, utilities, maintenance, and facility
scheduling.
C. City of Louisville programs – no fee. Contractors who conduct programs for the
City shall pay 30% of program fees (or gross revenue) to the City of Louisville.
D. Public rentals - $35/hr residents $45/hr non-resident rental fee.

8. Cancellation Policy and Release of Previously Reserved Dates. If an advance
reservation will not be used, the requesting party must provide City staff with at least
60-day notice of cancellation. To ensure that reserved dates are not held
unnecessarily, thereby potentially precluding revenue generating or other community
events from being scheduled at the facility, all reserved dates that are not cancelled at
least 60 days in advance and subsequently not used are subject to a minimum $100
per day fee, or 100% of the hourly rental fee for public rentals, whichever is greater.

900 W, via appia · Louisville, CO 80027 · (303) 666-7400 · FAX (303) 335-4959
www.louisvillerecreation.com

Parks Recreation senior services Open Space Forestry Trails Golf
