She turned <br />the presentation over to the Task Force members. <br />Aquiles LeGrave outlined the goals of the Public Outreach Task Force as follows: <br />• Identify new tools for public outreach; <br />• Identify new outlets for public outreach; <br />• Identify coordinated branding techniques and how to implement that branding in <br />various types of information; <br />• Identify internal departmental actions that will enhance public outreach; <br />• Evaluate the City's Public Involvement Policy, propose amendments as <br />deemed beneficial and suggest ways to improve the City's public involvement <br />efforts; <br />• Identify the funding and staffing resources needed for enhanced public outreach <br />and public involvement. <br />Mr. LeGrave reviewed the types and channels of communication: <br />Types of Communication: General Information; Special Events; Public Notice; Quasi - <br />Judicial; City Initiative; Departmental Initiatives and Utility. <br />Communication Channels: Website; Mail; Email; Newsletter; Posted Notices; Online <br />Comment Boards and Signs & Posters. <br />Mr. LeGrave reviewed the following Public Outreach Task Force findings: <br />Findings: Lack of a Communications Strategy, Mandate, Goal; No overall or channel <br />specific Metrics & Tracking; Ad hoc Intradepartmental Collaboration; No Social Media <br />Strategy and Overburdened Staff. <br />Challenges: Diverse Audiences & Interests; Digital Divide; Budget Constraints; Staff <br />Allocation and Quasi - Judicial. <br />Solution: Development of a Strategic Communications Plan <br />Benefits: Increase Awareness; Increase Engagement; Provide Access; Establish <br />Transparency; Reinforce Credibility; Reduce Waste and Alignment & Integration of Staff <br />efforts. <br />Communications Strategy Assessment Goals: Identify Audiences; Identify <br />Communications Channels; Identify Departmental Efforts; Identify Metrics; Identify <br />overall Expenditures; Identify Opportunities and Produce a set of recommendations. <br />Fiscal Impact: Once the communications audit is complete, it may recommend the <br />following additional items be added to the budget by amendment in 2015 or in 2016: <br />Communications Audit $25,000; they suggest a Communications and Social Media <br />
