Golf Course Advisory Board Minutes <br />September 15 2014 <br />Page 4 of 7 <br />Pt,L uisvlle <br />COLORADO • SINCE 1878 <br />anticipate a State contribution totaling $487K. FEMA approval is now at <br />Congressional level but this is expected to be a formality. <br />• Tree Planting Plan. Allan Gill shared a hard copy of the tree plan. No work <br />will be started until next Spring when Kevin Norby, Chris Lichty and David <br />Dean will stake out where the new trees are to be placed. This plan was <br />shared with the public at the Open House and no adverse comments received. <br />The work will be phased over a 3 to 5 year period other than the trees being <br />funded by CDOT between HWY 36 and hole 16. Most of the trees affecting <br />playability have been removed and Staff assured the Board ongoing pruning <br />and maintenance will be carried out. The large cottonwood tree between the <br />5th green and the Coal Creek trail has been a problem due to shading and root <br />incursion but was not removed due to its visual importance. <br />• Project Concerns /Issues: none other than as noted above. <br />• RFP for Food & Beverage Concession. <br />Joe reported that the RFP was sent out last week to 30 potential candidates. <br />Only two have made initial enquiries so far with formal responses due by <br />October 2. A meeting with potential responders is planned at the Clubhouse <br />on Sept 17 to inspect the facilities and answer any questions. The Board <br />commented that the F &B strategy should be consistent with Council's desire to <br />have the Clubhouse cater to a wider range of citizens than just the golfers. <br />Opportunities exist to cater for special functions and consider lunch packages <br />for local business and Monarch HS. The RFP states that the contractor has <br />the "first refusal" to cater special events such as tournaments etc. If a 3rd <br />Party then does the catering there are issues with the liquor license, facilities <br />etc. as well as a potential fee to the city. <br />9. Revised GCAB Resolution <br />The Board reviewed the draft resolution prepared by City Staff that defines the <br />Boards charter, roles and responsibility. There was broad approval of the draft and, <br />with valuable inputs from Council Member Keany and Joe Stevens; the Board <br />unanimously approved some minor changes that emphasize how the Board should <br />work pro - actively with Staff on the Master Plan and the financial situation of the Golf <br />Course. Perry Nelson made a formal motion to approve the revised draft (copy <br />attached as an Appendix to the Minutes) and submit to the City Manager for final <br />updates before it is presented to City Council for adoption. The motion was <br />seconded by Dennis Maloney and unanimously approved. <br />10.
