a <br />1 <br />Im Louisville <br />Memorandum <br />To: Joe Stevens, Parks Recreation Director <br />From: Meredyth Muth, Public Relations Manager <br />Date: April 19, 2011 <br />Re: Rules and Requirements for a City- Sponsored Social Media Pages (including ALL board <br />and commission pages) <br />The following rules and requirements apply to any City- Sponsored Social Media page, including <br />Facebook, Twitter, Flicker, etc. This policy applies to pages established by boards and commissions, <br />for events, and general departmental pages. <br />1. All accounts and pages should be established for a purpose, not for an individual. Individual <br />staff or board members may not establish personal accounts but rather should establish <br />accounts for their board or event. <br />Specifically, all Facebook pages will be "Fan Pages" or "Organizational Pages," they will not be <br />set up as pages for individuals. <br />2. There must be at least one staff person with access to the page as an administrator. If a board <br />has a page /account and a board member is administering it, that board's staff liaison must have <br />access to the site. <br />3. IT (Chris) must be given a copy of the login ID and password for the page or be listed a separate <br />page administrator with his own login ID and password. This is to ensure that IT has the ability <br />to remove any unauthorized information from the page. <br />4. The attached "City of Louisville Social Media Guidelines for Commenting and Posts" must be <br />included prominently on the site. Any comments or posts that do not follow these guidelines <br />should be removed by the administrator. <br />5. All pages /comments /statements to the page are considered open records under the <br />Colorado Open Records Act; therefore we must to keep copies of everything. Because we <br />don't have an electronic way to backup the pages, the only option we have been able to <br />identify is printing copies of comments to pdf on a regular basis and storing them electronically. <br />A staff member (not a volunteer) needs to be responsible for this on a regular basis and all pdf <br />files should be stored on a City server that is backed up regularly. <br />6. Please inform me of all City Social Media accounts/ pages that your department has so that I can <br />keep a list. <br />If you have any questions, please contact me. Thank you. <br />
