a
1
Im Louisville
Memorandum
To: Joe Stevens, Parks Recreation Director
From: Meredyth Muth, Public Relations Manager
Date: April 19, 2011
Re: Rules and Requirements for a City- Sponsored Social Media Pages (including ALL board
and commission pages)
The following rules and requirements apply to any City- Sponsored Social Media page, including
Facebook, Twitter, Flicker, etc. This policy applies to pages established by boards and commissions,
for events, and general departmental pages.
1. All accounts and pages should be established for a purpose, not for an individual. Individual
staff or board members may not establish personal accounts but rather should establish
accounts for their board or event.
Specifically, all Facebook pages will be "Fan Pages" or "Organizational Pages," they will not be
set up as pages for individuals.
2. There must be at least one staff person with access to the page as an administrator. If a board
has a page /account and a board member is administering it, that board's staff liaison must have
access to the site.
3. IT (Chris) must be given a copy of the login ID and password for the page or be listed a separate
page administrator with his own login ID and password. This is to ensure that IT has the ability
to remove any unauthorized information from the page.
4. The attached "City of Louisville Social Media Guidelines for Commenting and Posts" must be
included prominently on the site. Any comments or posts that do not follow these guidelines
should be removed by the administrator.
5. All pages /comments /statements to the page are considered open records under the
Colorado Open Records Act; therefore we must to keep copies of everything. Because we
don't have an electronic way to backup the pages, the only option we have been able to
identify is printing copies of comments to pdf on a regular basis and storing them electronically.
A staff member (not a volunteer) needs to be responsible for this on a regular basis and all pdf
files should be stored on a City server that is backed up regularly.
6. Please inform me of all City Social Media accounts/ pages that your department has so that I can
keep a list.
If you have any questions, please contact me. Thank you.
