Questions as to whether a particular piece of correspondence or other document is <br />protected from disclosure may be directed to City Staff or the-City Attorney. <br />17. E -mails received by a Councilmember regarding any land use matter should promptly <br />be forwarded to the Planning Department. E -mails regarding any other "quasi - <br />judicial" matter should be sent to the appropriate department. Responses to e -mails <br />on "quasi-judicial" matters should generally be limited to acknowledging receipt and <br />advising the sender that Council will be discussing the matter at a public hearing. <br />18. E -mails received by a Councilmember by way of the City website address <br />( @ ) will be automatically copied to the City Clerk and placed in <br />binders for public review. E -mail that is a public record that is received at another <br />address should be forwarded or held by the Councilmember according to the above <br />guidelines. <br />19. E -mails sent and received that are not protected from disclosure should be promptly <br />sent to the City Clerk to allow for timely updates to public review files and <br />notebooks. <br />
