Golf Course Advisory Board Minutes <br />November 18 2013 <br />Page 2 of 4 <br />on Golf Course Management. While the letter exercised the 180-day termination <br />clause, it is expected that the transition to a City-managed operation will occur by <br />mutual consent as soon as possible. Negotiations are ongoing with WGP on the <br />following topics: <br /> What portion of WGP Insurance (through Zurich) for damage and lost <br />income will accrue to the City on transfer? A response from WGP was <br />expected by 5pm on November 18 <br /> Terms for purchasing WGP owned property (selected clubhouse fittings, <br />maintenance equipment, stock on hand) <br /> Plan for disposition of leased golf-carts while the golf course is closed for <br />reconstruction. <br /> City insurance (through Travelers) will cover replacement of the booster <br />th <br />pump by the 18 green. An estimate of $60K has been received for this <br />work. The Board expressed concern that the prior replacement earlier this <br />year only cost $49.2K and repair of the flood damage should be less <br />involved. City staff explained that we got the first pump at a very good <br />price and now prices have gone up with inflation. <br />Item VI Golf Course Reconstruction RFP taskforce meeting results. <br />Bids for the reconstruction work were received from three Companies. <br />Landscapes Unlimited, Mid-America Golf and Landscape and ACC Golf <br />Construction. The cost estimates from Landscapes Unlimited and Mid-America <br />were very close with ACC 34% higher. The Task Force comprised: <br />GCABKen <br />Gambon and Dennis Maloney, Joe Stevens Parks and Rec Dir, Diana <br />City Staff <br />Trettin CIP Manager, Cameron Foulkes Civil Engineer, Dean Johnson Parks <br />Superintendent and Allan Gill Parks Project Manager. The taskforce was <br />unanimous in selecting Landscapes Unlimited as the preferred contractor based <br />on them having the most complete, qualified and cost-effective proposal. The <br />Board heartily concurred with that selection. The full presentation from <br />Landscapes Unlimited was circulated at the Board Meeting and will be posted on <br />the City website as part of the package for the December 3 Council meeting. It <br />was noted that the plan provides for repairing the greens by re-seeding rather <br />than using sod. This saves $140K and will prove a better, more maintainable <br />result at the expense of a small increase in time for the seed to mature. The <br />extent of the work makes it likely that the course will be closed for all of 2014 and <br />expectations should be set accordingly. <br />Item VII Status of transition to City managed golf course operations <br />City Staff are diligently planning the transition of the Golf Course to City- <br />managed. <br /> Based on the estimates received, it looks as if the cost of reconstruction and <br />renovation will be less than the $6.5M number used as a place-holder in the <br />2014 Draft City Budget.
