Roll call vote was taken. The motion carried by a <br />vote of 6 -0. Absent: Council member Lipton. <br />AWARD BID AND CONTRACT EXECUTION FOR THE ENTERPRISE <br />RESOURCE PLANNING (ERP) SYSTEM <br />Mayor Muckle requested a staff presentation. <br />IT Manager Neves reviewed the Enterprise Resource Planning (ERP) software package <br />contract for Finance, Human Resources, and Community Development (Planning, <br />Building Safety, and Public Works). He identified the anticipated benefits for the <br />selection, investment and implementation of the City ERP, which include the following: <br />• Reduce reliance on inefficient and outdated systems, both manual and <br />electronic. <br />• Increase reliability of financial data. <br />• Enhance "real- time" reporting. <br />• Improve service and process delivery. <br />• Increase ability for budget and revenue forecasting. <br />• Reduce redundant data entry. <br />• Enhance customer service. <br />• Maximize and streamline resources. <br />• Improve and automate manual process and workflow. <br />• Maintain regulatory compliance (PCI). <br />• Reduce paper. <br />• Enable more "data driven" decision - making throughout the organization. <br />Upon execution of the contract the proposed ERP implementation timeline is as follows: <br />• Finance: 1St through 4th Quarter 2015 <br />• HR & Payroll: 3rd & 4th Quarter of 2015 & 1st Quarter 2016 <br />• Employee Self Service: 1st & 2nd Quarter 2016 <br />• Community Development 3rd & 4th Quarter 2015 & 1st & 2nd Quarter 2016 <br />• Revenue — Utility Billing 1st through 3rd Quarter 2016 <br />Fiscal Impact: The cost of the software licensing, implementation, conversion, other <br />services, 3rd party licensing and annual maintenance totals $581,326.00.The annual <br />support and maintenance is $58,500. Staff recommended awarding the RFP and <br />executing the contract for the MUNIS and EnerGover ERP software solution proposed <br />by Tyler Technologies. <br />COUNCIL COMMENTS <br />
