<br />up after the events, and Police Department and other services to be provided <br />by the City. At least two months in advance of the event, Contractor shall <br />submit to the Designee an operations plan for the event which addresses <br />and details proposed street closures, sanitation facilities, post-event clean up <br />and other services and operations for the event. <br /> <br />e. Schedule a plannin~, meeting at least two weeks in advance of the first day of <br />the event in order to coordinate event duties. The Designee, participating <br />City staff members, and other involved in the event execution shall be <br />notified in writing at least five days in advance of the meeting time and <br />location. <br /> <br />f. Obtain a hold harml,ess agreement from the sponsor of each booth, game, <br />and activity, at least five business days prior to the scheduled event. The <br />booth, game, or activity may be cancelled if the required hold harmless <br />agreement is not timely provided. <br /> <br />g. Through fundraising efforts, raise for both events a combined total of not less <br />than $7,000.00 cash in non-City funds, which funds Contractor shall apply to <br />direct costs incurred in the provision of each of the named events. <br /> <br />shall: <br /> <br />4.3 In addition, for the Celebration in the Park event on July 4,2003, Contractor <br /> <br />a. Arrange for hotdogs/sausages to be served free of charge to the public <br />between the hours of 11 :00 a.m. and 1 :00 p.m. <br /> <br />b. Obtain sponsors for food and merchandise booths; assign booth spaces; <br />obtain commitments from booth holders on charges which will be made to <br />the public; and determine the location of booths. <br /> <br />c. Obtain required approvals from the Colorado Department of Health and any <br />other applicable regulatory body. <br /> <br />d. Obtain sponsors for children's games, carnival games, bocci tournament, <br />and horseshoe tournament. <br /> <br />e. Arrange for other entertainment throughout the day, including band concert, <br />Coal Creek Community Theater, and similar functions. <br /> <br />f. Obtain all necessary licenses and arrange for free swimming at Memory <br />Square pool. <br /> <br />g. Make necessary resHrvations for the use of public areas, including parks and <br />Memory Square pool. <br /> <br />4 <br />
