Kimley»>Horn <br />Page 2 <br />coordinate, prepare for and attend meetings with the PMT, Stakeholders, and the public as outlined in the <br />following tasks. <br />Task 1.B.1 Initial Meetings <br />Kickoff Meeting <br />Kimley-Horn will prepare for, coordinate, and attend up to one (1) two-hour virtual Kickoff Meeting. This <br />meeting is anticipated to consist of up to five (5) Kimley-Horn team members, subconsultants (the "Project <br />Team"), City staff (including Public Works, Planning, and Parks), CDOT staff including the City's local <br />agency coordinator at CDOT, Boulder County, City of Lafayette, and others as required. <br />Task 1.B.2 Progress Meetings <br />Project Team Meetings <br />Kimley-Horn will prepare for, coordinate, and attend bi-weekly virtual meetings with the Project Team (up <br />to twenty (20) one -hour meetings). The purpose of these meetings will be to review the tasks completed, <br />the tasks planned, and to prepare for upcoming PMT, Stakeholder, and other meetings. <br />Project Management Team (PMT) Meetings <br />Kimley-Horn will prepare for, coordinate, and attend monthly virtual meetings with the PMT (up to ten (10) <br />one -hour meetings). The purpose of these meetings will be to review the tasks completed, the tasks <br />planned, discuss the schedule and make key decisions. These meetings will be used to coordinate and <br />track the work effort and resolve problems. The meetings will review the following: <br />• Activities required to be completed since the last meeting; <br />• Problems encountered and effectiveness of previous meeting; <br />• Activities required to be completed by the next meeting; <br />• Solutions proposed for unresolved and anticipated issues; and <br />• Coordination and Information or items required from other agencies and Stakeholders. <br />The PMT is anticipated to consist of City decision -making staff, CDOT, and Project Team members as <br />needed. Kimley-Horn will prepare meeting agendas consisting of an action item tracking list and meeting <br />minutes for each PMT Meeting. <br />Project Manager Check -in Meetings <br />Kimley-Horn will prepare for, coordinate, and attend bi-weekly virtual City/Consultant Project Manager <br />Coordination Meetings (up to twenty (20) one -hour meetings). The purpose of these meetings will be to <br />review project status and coordinate on action items. <br />Task 1.13.3 Stakeholder Meetings <br />Kimley-Horn will prepare for, coordinate, and attend up to eight (8) meetings with the Stakeholders to obtain <br />input on project elements and the preferred design approach. This task includes up to two (2) one -hour in - <br />person meetings and up to six (6) one -hour virtual meetings. Kimley-Horn will prepare meeting agendas <br />consisting of an action item tracking list and meeting minutes for each Stakeholder Meeting.
