City Council Finance Committee <br />Meeting Minutes <br />07/16/18 <br />Page 3 of 6 <br />prepared and can be emailed to the Finance Committee Members upon his return. <br />Chairperson Maloney stated that the dashboard can be included with the August <br />Finance Committee Meeting packet. <br />Finance Committee Chairperson Maloney asked about the lower than anticipated <br />revenue indicated on the Recreation/Senior Center Dashboard for membership, <br />daily user and swim lesson fees. City Manager Balser stated that the declines <br />were not anticipated and that she would obtain additional information for the <br />Committee. <br />Public Works Director Kurt Kowar demonstrated for the Finance Committee <br />various dashboard reports that were created using Tableau software. Director <br />Kowar stated that the software creates a live link between the Tyler financial <br />software and American Data Group (ADG) software which houses Public Works <br />metric data. Member Muckle and Maloney stated the dashboards were really good <br />and provide a great direction for reporting. Finance Committee Member Maloney <br />asked about the staff time and effort to produce the reports on an ongoing basis. <br />Director Kowar stated that the effort is minimal should the City decide to go forward <br />with the Tableau software. <br />Deputy City Manager Megan Davis stated that the City is currently pilot -testing <br />Tableau and other similar software solutions. Ms. Davis stated the City is looking <br />for a product that could be used City-wide, would extract data from common <br />database sources, and would have a similar look and feel. Ms. Davis and City <br />Manager Balser stated the goal would be to use such software to create <br />department dashboards, key performance indicators, budget projections and be <br />available on the City's web site. <br />IT Director Chris Neves stated the City does not currently have access to the <br />recreation center and golf course software databases. City Manager Balser stated <br />she is hopeful City Council will approve the new data analyst position proposed in <br />the 2019 budget, which position will be key to creating the City-wide data links and <br />custom reporting desired. <br />Finance Committee Chairperson Maloney asked if the Tableau software is a <br />subscription and what the costs are. Director Neves stated the software is by <br />subscription and costs approximately $20K per year. <br />Director Kowar asked the Finance Committee if they still want to see real-time <br />mapping of various maintenance operations. Deputy City Manager Davis stated <br />that real-time mapping of capital projects is available now. Finance Committee <br />Members stated that real-time mapping of street -sweeping and snow plowing <br />operations would be beneficial and allow businesses and residents to view the <br />location of City maintenance equipment and crews during weather events. <br />4 <br />
