APPROVED
September 14, 2004
Public Hearing Closed Commission Comments:
Pritchard:
no comment.
Kalish, McAvinew, McDermott, Loo and Deborski
all stated that they support the project.

Kalish moved for the approval of Resolution No. 19, Series 2004, Seconded by McDermott.

Roll Call Vote:
McAvinew, Yes; Kalish, Yes; Deborski, Yes; Loo, Yes; McDermott, Yes; Pritchard, Yes. Lipton
excused.

7.Meeting Minutes
Discussion, Direction and Approval
Wood reviewed the memo of the proposal to revise the format for the minutes and requested
commission comments.

Deborski
: Supports the action/summary format.

McDermott
: Ways to save space and words in the detail format but still attribute questions and
comments to a specific Commissioner. Remove the Chairman comments since the topic
identifies the action that will take place.

Pritchard:
What problems, if any, has Lafayette had since moving to the action/summary
format?
Wood:
Not aware of any problems or issues with new format.

Kalish:
What format does City Council use and why should Planning Commission use a
different format?
Wood:
City Council uses the detailed format. The revised format could reduce the time spent by
staff in the preparation and adoption of the minutes with the new suggested format.

McAvinew:
Prefers a detailed version but also wants a format that will get them out and
approved in a timely fashion.

Kalish:
Not present at July 13 meeting and had a fuller sense of what occurred by reading the
full detailed set versus the action/summary set. Recommends Planning Commission follow the
format of City Council.

Loo:
Can the video or audio tapes be used as a substitute for written minutes?

Kalish:
Need to address the backlog and move forward with the detailed set. Also requested a
review of statutory requirements for minutes.

McDermott:
Recommends a modified / condensed format with the addition of each
Commissioners name being added to comments, questions, etc.

General consensus on the format suggested by McDermott.

3
