PROPERTY PROPOSAL PROCESS CHECKLIST <br />(Disclaimer: If during the process it is clear the project is not in keeping with the Master <br />Plan, anyone involved should discuss this with Amy and the applicant should be <br />contacted.) <br />Proposal Submission: <br />❑ Step 1: Property Proposal Form completed /submitted; one is always required. <br />- Karey can send these forms electronically or there are packets in her office. <br />❑ Step 2: All completed property proposal forms /requests are given to Karey. <br />- If staff already coordinated with Steve on project, make sure to include note of discussion <br />points and any recommended direction(s) from him. <br />Initial Processing: <br />❑ Step 3: Amy and Karey meet to determine if an OS # will be assigned. <br />- If proposal likely to be considered, Amy will delegate project. <br />❑ Step 4: Karey assigns OS #, creates folder. <br />- Identify Region and /or Park <br />- Stefan pulls deeds and creates map(s). <br />- Karey will email everyone the OS #, indicating RE or Planning sections assigned to the <br />folder, and attach Stefan's map(s) <br />- Once updates are provided to Karey, she will update OS Projects Report throughout <br />process <br />Proposal Evaluation: <br />❑ Step 5: Planning /Real Estate Evaluation (Joy and Anna) <br />- Occurs at bi- weekly meetings, special meetings, or via email. <br />- Determine if additional information is needed. <br />- Meetings could involve any other essential staff and /or applicant (as necessary) <br />Assign folder to specific Planning or RE staff. Assigned staff will: <br />a. Contact Landowner /Applicant. Preference: By phone and /or email. Letter only if <br />necessary and if other means of contact have failed. Objective: <br />i. Introduce <br />ii. Explain JCOS process <br />iii. Explain further contact will occur (to schedule site visit, get clarification, etc) <br />❑ Step 6: Research /Analysis (Planning and Real Estate cooperatively) [Whomever is assigned <br />the folder is responsible for implementing or obtaining assistance on this Step] <br />Typically done by Planning <br />Review of Master Plan criteria and OSAC Guiding Principles <br />Completes cursory Property Analysis <br />Create vicinity map <br />Send out email to OS_Staff Referral group and Region Team invite for field visit (include <br />Property Analysis and vicinity map.
