LOUISVILLE HISTORICAL MUSEUM
COLLECTION POLICY
2002
1
MISSION STATEMENT
The mission of the Louisville Historical Museum, a facility owned and operated by the
City of Louisville, is to collect, preserve, and interpret the diverse history of Louisville
from the time of settlement until present day with a special emphasis on the coal mining
period, 1877 -1955. The museum is dedicated to protecting artifacts and documents of
historical value and educating children and adults about the past.
ACCESSION OF ITEMS
Accessioning is the formal process used to accept and record an object as a collection
item.
1. The Louisville Historical Museum will collect through gift, bequest, exchange or
transfer from another institution only those items related to the mission statement.
2. Commission Members and museum staff can accept donations conditionally. It is to
be explained to donors that the Commission and Museum staff will review and decide
on acceptance of donations. Items offered as donations shall be receipted on a Deed
of Gift.
3. Items will be accepted into the Museum collection upon approval of the Commission
members and Museum staff at a monthly meeting. Commission Chairperson will
countersign the Deed of Gift indicating whether the items have been accepted or not
accepted to the collection.
4. To be considered for acceptance an item should meet the following criteria:
A. Item must be consistent with the mission of the Museum.
B. Museum must have space for the item and the ability to preserve in perpetuity.
C. The condition of the item should be such that it will enhance the quality of the
collection.
5. Three - Commission members will review off -site donations for acceptance to the
collection. A Deed of Gift will be completed and signed at the off -site location.
6. Museum will not accept for accession donations that are subject to conditions or
restrictions by the donor, or to which clear legal title cannot be acquired by the
Museum.
7. Original Deed of Gift will be filed with accession records at the Museum. A copy of
the Deed of Gift will be mailed to the donor.
